Smart Garden Dealers and Service Partners

Where a customer chooses dealer-supplied, financed or specialist-supported robotic mowing or irrigation equipment, we may share the limited information needed to arrange an assessment, quotation, installation, warranty or technical service. The partner may act as a separate data controller for its own contract, finance, warranty and service records. Customers should read the partner’s privacy notice before entering into a separate agreement.

Photographs

Photographs may be used to understand an enquiry, prepare work, record condition or completion, and support a complaint or insurance matter. We will seek appropriate permission before using identifiable customer-property photographs for public marketing.

Service Providers

We may use Fasthosts and WordPress for the website; HubScape for customers, sites, quotations and scheduling; QuickBooks for accounting and payments; Microsoft 365 for communication and business records; and Brevo for newsletter subscriptions and campaigns. Providers may use approved subprocessors. Appropriate contractual and international-transfer safeguards should be maintained where required.

How Long We Keep Information

  • Inactive enquiries: normally up to two years after last meaningful contact
  • Customer, contract and job records: normally six years after the relationship or relevant work ends
  • Financial and tax records: normally six years or as legally required
  • Newsletter records: until unsubscribe or the service ends, with a limited suppression record retained
  • Website security logs: normally no longer than twelve months unless an incident requires longer
  • Dealer coordination records: retained with the relevant enquiry, quotation or customer record

Security

We use reasonable measures such as controlled accounts, strong passwords, multi-factor authentication, access permissions, encryption, updates, backups and procedures for suspected breaches. No internet or storage system can be guaranteed completely secure.
